We seek a motivated Program Associate to join our dynamic team. The Program Associate is integral to the smooth functioning of all parts of ECF’s grantmaking, program, and donor services operations.

The Program Associate is integral to the smooth functioning of all parts of ECF’s grantmaking, program, and donor services operations. They are responsible for the administration and upkeep of the grants database and grants management for community grantmaking and sponsorship programs. They work closely with the donor services and communications teams to provide grant applications, sponsorship, and data to support fundraising and external communications. The Program Associate works with the Program Team to coordinate logistics and implement programs and events, including Leadership Evanston, nonprofit training programs, and community listening sessions. They work with the Finance and Operations Teams to ensure timely payment of grant installments and confirm registration and program tuition payment. 

The Program Associate acts as a public liaison to assure access to and understanding of ECF’s grantmaking and program opportunities. They can engage with all parts of the community to understand the needs and areas where investment from ECF can be integral. The Associate will participate in selected city-wide and cross-sector task forces.

ECF’s Program Associate is resourceful, self-motivated, technologically savvy, community-minded, and pays keen attention to detail. They are a good listener, communicator, writer, relationship builder, and multi-tasker. 

key responsibilities

  • Works with the Program Team to coordinate logistics and implement programs and events including Leadership Evanston, nonprofit training programs, and community listening sessions. 
  • Works with the Communications and Development teams to capture program and grantmaking stories and data for Foundation publications and events.
  • Manages the Grants Lifecycle Manager system, including keeping grantee records current. Provides grant management support for community grant cycles including managing proposals, financials, grant agreements, reporting, sources of funds, and providing information on grants and programs to staff and board as needed.
  • Acts as a liaison to the Finance and Operations Teams to ensure timely distribution of grant payments and collection of tuition and fees. 
  • Supports Vice President for Community Investment in staffing ECF’s Community Investment Committee, creating board packets and agendas, grants materials, taking minutes, and gathering and sharing information.
  • Coordinates ECF’s external sponsorship program in managing a sponsorship calendar, identifying sponsorship opportunities, processing and sharing paperwork, and acting as a liaison to the Communications Manager to ensure ECF cross-promotes community events.
  • Ensures that Leadership Evanston participants, alums, and volunteer information are correctly coded, recorded, and retrievable from the C-suite Foundant database for mailings, directories, and electronic communications.
  • Prepares correspondence and other communications regarding Leadership Institute, trainings for nonprofits, community programs, and grants.  
  • Works with Program Team to conduct program evaluation, including creating, distributing, and summarizing surveys and synthesizing reports. 
  • Serves on community task forces as an ECF ambassador, attends meetings and workshops on relevant community issues as needed, and represents ECF at community events.

Skills

  • Familiarity with application systems and relational databases
  • Fluent in Basic Microsoft Office applications - Word & Excel
  • Proficiency with communication tools (Slack, Survey Monkey, Mail Chimp)
  • Strong written and verbal skills
  • Demonstrated commitment to ongoing anti-racist and Diversity, Equity, and Inclusion learning
  • Proficiency in a second language is desired; preferably Spanish, French, Arabic, Urdu, or French Creole

compensation

The position is 40 hours/week, with a hybrid of remote and in-person work. The candidate must be available for evening and weekend events to align with the Foundation’s work.

This position is full-time and exempt. The starting salary is $50,000 annually. Because we know that the practice of salary negotiation can contribute to pay inequities, this starting salary is non-negotiable. The full salary range for the role is $50,000 to $55,000 annually; a group health HMO/PPO; short- & long-term disability; life insurance; 403b retirement plan; and a generous vacation & holiday schedule.
